Assistant Creative Studio Manager - Creative Direction (m/f/d)

Purpose & Overall Relevance for the Organization:

 

As part of the Head Office team you will maintain oversight of all priorities within Creative Direction to support SLT in prioritizing and executing against our brand strategy. You provide operational, process and organizational management to superior and team, drive day to day business in the respective unit, provide ad hoc support on operational topics to superior team and work on unit specific projects. Run an efficient head office and ensure a smooth communication flow between Creative Direction and other Business Units & Functions. 

 

Key Responsibilities:

 

  1. Head Office
  • Ensure an efficient head office
      • gather and provide information to key stakeholders in a user friendly and presentable format
      • organize meetings, take and distribute notes of meetings and follow up on action steps in a timely manner
      • ensure alignment and a smooth information flow amongst Senior Managers in your unit
  • Plan and manage domestic and international team events. This includes also the support and management of executive visits and organization of side events, hotel and travel arrangements, etc.
  • Manage timelines and file management through various tools such as smartsheet and sharepoint
  • Manage head office cost center, including regular monitoring for budgets, approval of invoices to ensure correct accounting transactions
  • Optimize departmental efficiency
  • Assist your superior in all administrative tasks and duties (i.e. calendar management, meeting organization)

  • Create compelling presentations
  • Ensure consistency, flow and high quality of presentations

 

  1. Projects
  • Steer projects and ensure deadlines and targets are successfully achieved. Work closely with superior, team and departments involved making sure the scope and direction of each project is on schedule.
  • Manage the execution and completion of the defined project plan by effectively coordinating people and resources.
  • Manage and coordinate projects briefs and assignments as requested/directed by superior.

Requisite Education and Experience / Minimum Qualifications:

 

  • Four year degree or equivalent experience
  • First level of work experience mandatory (e.g. management trainee, project participation, or consulting experience)
