Purpose & Overall Relevance for the Organization:


The mission of the inbound assistant manager is to ensure the smooth operation within SCM Dept. in all aspects of related functions, and also to enhance the processes to meet the international trade compliance requirement.


He/she will achieve this mission by:


  • Monitoring the daily inbound operation, solve the open issues and seek for the workaround.
  • Be the coordinator among other function departments and 3PLs.
  • Support to the inbound relevant projects and optimization, to enhance the work efficiency.
  • Conducting annually self-assessment for inbound activities.
  • Providing administration support to inbound delivery manager.


Key Responsibilities:



  • Coordinate with business team to get the purchase order list with detailed product information, based on the expected timeline to arrange the import/ export /domestic shipments timely.
  • Coordinate with freight forwarder/broker for import & domestic inbound delivery.
  • Coordinate with marketing, cross functionalities, 3PL/ DC warehouses for goods inbound/outbound and delivery.
  • Coordinate with Finance team for import invoice issues.
  • Generate shipping instruction/ operation guideline to support import and export process requests.



  • Perform the daily tracking for inbound delivery and ensure the imported orders arrival with committed lead-time and in good conditions.
  • Monitor the whole process of customs formalities and solve the abnormal/ urgent issues.
  • Develop/ design process to control special import & other import, export issues.
  • Monitor the performance of 3PL (freight forwarder, Customs brokers, transportation company) with committed service level, put forward improvement suggestions and supervise the implementation.
  • Deal with the open claims with 3PL team for those broken/shortage cases of inbound delivery ensure all claims settled properly.
  • Provide solutions to solve significant trade issues/ special business requirements in conjunction with all internal & external parties.



  • Develop cost analysis reports for internal management needs.
  • Set up/ review claim process to ensure all claims could be resolved timely and successfully.
  • Generate statistical reports to financial/ tax team for annual audit needs or other financial requests.



System and Processes

  • Be familiar with company policies and business operations.
  • Be able to resolve problems requiring knowledge of department policies and procedures.
  • Responsible for producing various reports to SCM team members in a timely manner.
  • Ensures correct tracking and freight information are uploaded to system timely.
  • Operation in AFS/HUB/TCM/BIZAGI/Trade Card/GT Nexus systems.
  • Participate in system testing/ enhancement/ upgrade projects.



Key Relationships:



  • Purchasing, legal, marketing, retail, finance, tax, logistics, OBF, CoEL, SCI, etc.



  • Customs, CIQ bureau, Shipping forwarders, local transportation companies, express/courier companies, Customs brokers, etc.



Knowledge, Skills and Abilities:


Knowledge / Experience

  • Previous experience as an import/ export specialist or coordinator.
  • Be proficient in customs clearance and supply chain processes.
  • The experience of SAP MM flow  knowledge will be better.


PC/Language/Other Skills

  • Excellent working knowledge of Microsoft software
  • Fluent in English & Mandarin
  • Excellent organizational skills

Requisite Education and Experience / Minimum Qualifications:


  • College Degree, preferably with an international trade or operation background.
  • Good business sense, at least 4-year experience in FMCG or sportswear enterprises.
  • Fully understanding of Customs/trade compliance & processes.
