Coordinator, Office & Sample Support - NZ (ML contract)

Purpose & Overall Relevance for the Organization:


To offer professional and friendly office admin services to internal and external customers and manage the sample coordination process for the Auckland office.


Key Responsibilities:


Sample Management (1)

  • Manage the recepting and tracking of all samples into NZ.
  • Setting up showrooms with new samples and managing the booking of samples for showings  with sales.
  • The key link between MOP’s in Melbounre for all samples, managing timelines and communnication of sample movements.
  • Returning part season’s  samples to the wareshouse.
  • Working with Retail to consume past season’s samples from the warehouse in a timely fashion.


Reception (2)

•             Greet customers to ensure a strong positive impression is presented of the business - this includes all athlete meet and greet as required

•             Maintain strict confidentiality where required and professionalism in all aspects of your role  

•             To answer main line phone callers and direct to extension numbers as required

•             Manage both external and internal callers as required


Mail and Couriers (3)

•             Receive, sort and distribute all inwards goods (mail, couriers, deliveries,samples etc.) to ensure reception area is clear and free of clutter.

•             Organise all outging goods (mail, urgent, local, domestic and international couriers)

                Support Sports marketing and brand with product deliveries outbound, including ACG brand protection

                Support sales with sample management for inbound samples into the office

•             Track and trace couriers as requested




Office Management (4)

•             Monitor, order and replenish general stationery supplies and office consumables as needed, including kitchen supplies, printer/fax toners and cartidges, individual stationary orders etc. in a timely manner.

•             Ensure that all communal areas (hallways, kitchen, meeting roons) are kept in a clean, tidy and professional state. Update all notice boards so material is fresh and relevant. 

*              Undertake general office maintenance duties for entire office.


Travel and Events (5)

•             Arrange and communicate any company events in a timely manner ensuring resources are organised (venue, catering,.glassware etc). if required

  •      Coordinate athlets travel arrangements on behalf of marketing for PR and events

•             Catering coordination for internal customer / sports marketing meetings when requested

•             Support any staff in booking of Travel via FCM and managing any travel or conference and training bookings as required to ensure travel and or events run seamlessly


Personal Admin and Management Support (6)

•             Printing, photocopying and binding for as required

•             Maintain strict confidentiality wher appropriate and professionalism in all aspects of your rol.


Support to Sales (7)

  • SAP – receipting, creating, amending purchase orders,


Support Finance (8)

  • Process customer credit card payments when required
  • Prcess and record customer cheques locally, send to the finance team
  • Assist Accounts Payable with Invoice scanning and requirements for the MEL based team


Health and Saftey

  • Proactivly support the H&S team locally and HR to ensure this is front of mind, manage the H&S folder,     reporting or hazars and rectifing the hazard in the office enviroment.
  • Play a lead role as Fire Warden, maintainnig all requirements and coordinating the fire and emergency team, including regualr fire drills and office updates.


Support all other Functions (9)

•             Ensure the common spaces in the office are maintained to a high standard, and coordinate clean ups

•             Assist in all other project based requirements or when assistance is required by all functions   




Key Relationships:


Global – None.

Market – Sales, Marketing, Customer Service, Sales Coordination, Finance.


Knowledge Skills and Abilities:


  • Functional - > 2 years in sales coordination
  • Industry - ideally in apparel/fashion/shoes or FMCG.
  • Exposure - Sports.


Requisite Education and Experience / Minimum Qualifications:


  • High school certificate.
  • Commercial apprenticeship.
