Supervisor, Office Administration


  • Performs administration tasks related to the efficient maintenance and processing of workplace, general administration, travel, and procurement.
  • Support and organize various company activities and events.
  • Provide high level of back-office support.



Key Responsibilities:



  • Implement aSL & local administration polices and office rules/objectives, makes sure all processes and procedures are up to date. Identify potential problems and offer appropriate solutions.
  • Organize and support all office events: Quarterly & Annual Employee Meetings, Christmas Celebration, Partner Summit, SRC events, and etc.
  • Work closely with car fleet companies and car coordinator for office car/shuttle daily operation.
  • Provide orientation for new employees.
  • Coordinate with designated travel agent in travel booking & visa application process optimization, step in for assistance when needed from colleague both inbound and outbound.
  • Ensure company licenses/documents renewal and annual inspection in compliance with China Law.
  • Back up on stationary requests, courier & customs clearance.


Workplace Management:

  • Ensure that office safety and fire prevention issues are always given priority.  Raises any concerns to the superior.
  • Manage workplace vendor, includes green plant, on site cleaning staff, periodic office cleaning, pets’ control, office & fixtures maintenance etc. Ensure premises at a high standard of decoration and efficiency.
  • Work closely with cross organization workplace team for the coordination of office operations.



Procurement & Vendor Management:

  • Source and review suppliers annually to make sure price competitiveness, high standard of quality and satisfactory service.
  • Collect monthly statement from various suppliers, follow internal payment processing procedures, and submit the finance department accordingly.


Assists general ad hoc projects.

  • Department Managers
  • Hong Kong head quarter Legal/Mobility/Procurement
  • Other functions (OC functional departments, Admin, IT, HR, others)
  • External: hotel and meeting venue, landlord, property management office, and all other vendors belongs to administration department



Knowledge, Skills, and Abilities:


  • Good knowledge of MS Office applications
  • Good command of written and spoken English and Chinese
  • Good interpersonal and communication skills 
  • Good organizing skill
  • Result oriented and deliver on time in full all internal and external deadlines
  • Detail orientated, demonstrated record as a team player
  • Retain company confidentiality


Requisite Education and Experience / Minimum Qualifications: 


  • University degree or equivalent in Business Administration.
  • 3+ years administration experience, preferably in multinational environment.
  • Passion and interest in athletic competition, sports or fitness related activities
