Team Assistant / Secretary

Purpose & Overall Relevance for the organisation:

  • Assisting/providing secretarial support to a team of experts who act as a commercial business partner to global sports marketing / brand marketing for one of the leading sports brands.
  • The Assistant will provide functional, secretarial and administrative support to ensure effective performance of the GSM Legal & Business Affairs department.
  • The successful candidate will have some prior experience in a business affairs and/or legal setting.
  • S/he will be highly-organized, self-motivated, quick-thinking, flexible, and able to juggle multiple responsibilities on a large portfolio of international sports marketing assets with an unwavering attention to detail.
  • This is a demanding and fast-paced role that requires curiosity and significant initiative. The main priority is on mastering the administrative handling of all contracts (such as electronic signing and filing).

Key Responsibilities:

  • Management of all administration of all relevant legal documents and templates for the Global Brand & Sports Marketing | Legal & Business Affairs department, including sponsorship/licensing contracts with international athletes, players, clubs and sport federations; marketing services agreements with agencies and media houses; and terms and conditions for digital promotions, competitions and other activations.
  • Maintain up to date and accurate database and filing of legal contracts and current live negotiations.
  • Support to the department (five lawyers) and communicate and liaise with those in contact with the lawyers of the department with respect to all legal/contractual related matters.
  • Co-ordination with external legal counsels on invoicing matters.
  • Preparation of presentations and training seminars for staff.
  • Book + organize travel for the team members, submission of expense reports.

Knowledge, Skills and Abilities:

  • Strong organisational and administrative skills.
  • Fluent in English (both verbally and written). Dutch/German/Spanish language skills are a bonus.
  • Working cross-functionally to maintain alignment and facilitate communication between departments.
  • Increasing team operational efficiency.
  • Maintaining flexibility and openness to take on additional projects as necessary.
  • Enthusiastic, energetic, honest person.
  • Independent worker but a team player.
  • Professional and approachable, is capable to function in cross cultural working environment.

Requisite Education and Experience / Minimum Qualifications:

  • MBO + required, focus on admin work with contracts
  • At least 1-3 years of professional working experience in a relevant commercial environment
  • Excellent MS office skills (in particular MS Powerpoint & MS Excel)
