Manager GBS Governance (m/ f/ d)

Purpose & Overall Relevance for the Organisation:

The Governance Manager position is a part of the Global Team of GBS Strategy & Projects based in Porto in the management of overall GBS transformation (for Europe, North America, Latin America, Asia Pacific, Greater China, Emerging Markets and CIS), ensuring the implementation of GBS 2025 Roadmap, and the development / maintenance of overall GBS governing processes / topics.

  

Key Responsibilities and General Accountabilities:

Governance is a defined and integrated way of working that engages stakeholders and delivery channels to effectively manage risk and drive the intended business value of GBS. It focuses on how decisions are made and enforced in a dynamic business environment. Therefore main responsibilities include:

  • Ensure GBS governing processes are documented and updated, as well as communicated, available to all and followed / implemented throughout all areas in-scope;
  • Act globally and x-functionally in order to identify governance dependencies and their impact and co-create solutions
  • Review periodically that all governing processes are being followed, looking for continuous improvement
  • Involved in identifying solutions on escalations and propose these to the leadership and support their resolution in a timely and appropriate manner.

Delivery Model:

  • Involved in defining a governance flow to continuously assess the Delivery Model
  • Engaging with all current relevant areas to recurrently review the Delivery Model Detailing

Organisation Model:

  • Maintain formal decision making processes on strategic, tactical and operational level (GBS Organisation Model and RACI)
  • Manage reviews on Organisational Design,  supporting decision-making and assess the impact on the Model.

Interaction Model:

  • Contribute to the development, maintenance and review of the GBS Interaction Model for current and future scope areas;
  •  Manage the Tactical Level interactions with all in-scope market regions / markets, liaising with the VP SPOCs, as well as all other meeting stakeholders to prepare the agenda and ensure all content is prepared. Ensure proper follow-up on all actions defined;
  • Ensure Operational interactions are followed and implemented by the Centers Operations.

Process documentation:

  • Actively maintains global process documentation responsibility within the GBS environment.
  • Prioritizes the implementation of standardized processes documentation within GBS and for new countries transitioning into GBS.
  • Defines and manages continuous process documentation harmonization by providing guidance and direction to the GBS Centers
  • Serve as a key contact point for GBS and other functions
  • Identifies the set-up and further development of the framework for the transition manager around process documentation
  • Defines and manages the set-up of the process documentation harmonization/structure approach/concept within the GBS environment
  • Coordinates process documentation in ARIS and ServiceNow Knowledge Base
  • Participates in cross-functional projects for GBS
  • Provides and manages training to the transition manager and operational GBS team for process documentation
  • Establishes a common platform for defined process documentation structure and applies them consistently
  • Evaluates open process documentation with the relevant parties and drives the timely closure

Knowledge management:

  • Actively maintains the knowledge management framework in alignment with other functions like Process Excellence, Delivery Excellence, IT, and the overall GBS framework
  • Provides a harmonized knowledge management approach to services across all functions
  • Implements the knowledge management roadmap for all functions across all markets, in close cooperation with the teams in the GBS centers
  • Connects with the change management team to ensure all change & communication activities related to knowledge management are planned and executed in a consistent way
  • Provides change experiences, education and resources to guide individuals, teams and the broader GBS organization to implement activities around knowledge capture and sharing
  • Contributes to onboarding and training related to knowledge acquisition for new joiners on all levels
  • Supports a knowledge sharing mindset & the adoption of knowledge exchange within GBS
  • Provides and executes a continuous improvement concept for GBS, including processes, accountability, and performance
  • Attends regular information exchange and feedback sessions in the GBS centers

Knowledge, Skills and Abilities:

  • Ability to interact at a high management level
  • Strong communication and stakeholder management skills
  • Ability to work in a fast-paced environment with different international cultures
  • Presentation building skills and storytelling
  • Good analytical skills, managing data from multiple sources
  • Some knowledge of GBS organizations, namely on governance processes
  • Pro- active (engaging & impact-oriented) mindset, ability to think end-to-end
  • Fluent English (verbal and written)
  • Strong MS-Office skills (namely Excel, PowerPoint)
  • Familiarity with Smartsheet, ServiceNow, ARIS or equivalent tools
  • Documentation capabilities
  • Understanding of Global Business Services processes and structures
  • Experience with knowledge and content management
  • Customer focused and team player
  • Cultural awareness and experience working in an international environment

 

Requisite Education and Experience / Minimum Qualifications:

  • Minimum of 1 year managing GBS Governance processes
  • Minimum 3-7 years of progressive work experience in mid to large-scale project or program management
  • Process modelling software is a plus
  • Experience in a multi-national working environment
