Senior Director Project Office, APAC

Purpose & Overall Relevance for the Organization:

“Develop, support and manage key strategic initiatives, from planning to execution, across the organization to achieve Asia Pacific market top priorities”

 

As the head of PMO, he/she will achieve this mission by:

  • Providing the oversight, coordination and management of the company’s strategic priorities and initiatives portfolio through one systematic project management approach across Asia Pacific and country/clusters
  • Translating high-level, long-term corporate strategy into near-term initiative plans
  • Driving and guiding initiative owners in planning, execution and tracking the strategic priorities and initiatives – while providing deep-dive support on select initiatives with value-added analysis
  • Initiating regular communication and working sessions with the senior management team on initiative progress, issues, recommended future actions
  • Actively manage a network across the organization to ensure the PMO and the project portfolio are highly relevant to the business and its priorities

 

 

Key Responsibilities:

PMO Portfolio Planning & Management

  • Developing and executing one Asia Pacific project management system across all markets, country/clusters and functions
  • Develop and execute a systematic approach to support senior management to identify the right strategic priorities to take action on
  • Ensure objectives are aligned with the strategic direction of the Asia Pacific market
  • Coordinate and manage initiative development, planning and prioritization processes across functions with the right resources
  • Understand and identify interdependencies, across markets/functions, to enable effective measurement of portfolio risk and progress against baseline, prioritization, and focus areas
  • Provide senior management with objective perspective on progress, priorities and directions while managing their expectations
  • Get alignment with the management team to ensure the PMO is focused on the strategic topics and top priorities 
  • Coordinate and manage prioritization processes across markets/functions for each initiative development

 

Project Management / Support / Communications

  • Drive and guide initiative owners to set initiative objectives, develop detailed work breakdown structure with concrete activities, milestones, roles and responsibilities and define KPIs
  • Engage with initiative owners and senior management to determine role and contribution for each initiative
  • Provide advice and feedback to initiative owners and team to ensure high quality, timely execution
  • Coordinate and drive initiative owners to generate regular progress updates while ensuring consistent planning and execution from function to function, and from head office to regions
  • Provides content expertise, active process management and integrated problem-solving support (define, structure the problem, prioritize, develop the issues, analyse, synthesize findings, and develop recommendations)
  • Proactively recommend and/or lobby for additional support with Leads and Sponsors to facilitate work-stream development when necessary
  • Keep the strategic initiatives on track by actively monitoring completion of necessary deliverables (e.g. enforces deadlines and ensures compliance) with initiative Leads
  • Translates implications of progress into outcomes and demands for Leads and Sponsors (e.g., knows who is on track, ahead of the game, or falling behind and understands what has to happen for the transformation to stay on track)
  • Facilitate and guide the overall project life-cycle from start to finish
  • Provide Leads, Sponsors and Global interfaces with regular updates on initiative progress (objective perspectives, priorities and directions) while managing their expectations
  • Identifies and co-develops people solutions with Leads and Sponsors to organizational complexities/conflicts that stifle cross-cutting work-stream(s)

 

People Management

  • Develop and lead the PMO team to fulfil its mission and targets
  • Provide appropriate allocation of projects across the PMO team to best deliver synergies of project objectives and aligned interdependencies.
  • Train and guide PMO team to further develop project management skills and discipline
  • Implement disciplined performance management of team members’ work plan, developmental areas and drive winning performance culture

 

Others

The responsibilities are not limited to the above; the job holder will also follow other work assigned by his/her immediate supervisor.

  • Initiative achievement – time to completion, resource utilisation, achievement of objectives and deliverables, business impact
  • Contribution to the development of the overall business strategy and organisational set up
  • Qualitative feedback from Leads, Sponsors and Global Interfaces on overall project leadership, communications, problem solving, strategic influence

  • Strong leadership and relationship management skills – ability to lead and service people, and build a wide network across markets/functions/cultures/teams

Requisite Skills, Education and Experience / Minimum Qualifications:

  • University degree or above (MBA or other business-related qualification preferred)
  • 12-15 years of general business experience
  • Strong track record in cross functional/market level project management with leading consumer brands or consulting firms
  • Proven track record of delivering high-quality work on time
  • Experience with initiatives/project tracking (e.g. knowledge of utilizing tracking tools)
  • Experience with synthesizing large amounts of data into updates that are easy to digest
  • Broad understanding of business value drivers and operations
  • Solid skills in Microsoft Office (Word, Excel, PowerPoint, Project, etc.), Smartsheet, and experience with problem- solving tools (e.g. logic trees, storylines, quantitative models)
  • Strong communication skills – written and spoken English
