Specialist - Trademarks (legal assistant)

Purpose & Overall Relevance for the Organization

To provide day to day administrative support to the Manager- Trade Mark Counsel / Director -Trade Mark Counsel in various areas of their intellectual property work including in relation to the creation, prosecution, maintenance, protection and enforcement of adidas trademarks and designs, in designated countries and regions.

Key Responsibilities

•    General secretarial work (such as handling of correspondence, archiving and scanning of documents);
•    Assisting in trade mark prosecution matters such as filing of new trade marks, renewals, name changes and trademark conflicts, including but not limited to oppositions, invalidity requests, non-use cancellation actions, etc.
•    Creation and maintenance of records on IP database;
•    Monitoring deadlines for all aspect of trade mark prosecution matters 
•    Screening of watch notices; 
•    Preparing supporting evidence for trade mark filings and oppositions (evidence of use, trade mark overviews, etc.);
•    Conducting model name clearance searches and assisting with clearance projects in relation to names and designs;
•    Identifying counterfeit products and supporting with online and market enforcement actions within the designated countries and regions;
•    Filing and renewing customs applications in designated countries and regions;
•    Arranging for the legalisation or notarisation of documents, such as powers of attorney;
•    Approving invoices to ensure costs allocated to correct category of work for management reporting purposes; and
•    Administrative support to Department Head in finance related tasks (including assistance with budget and forecast processes)

•    All members of Global Trade Marks team
•    External trade mark and design counsel in designated regions and countries


Knowledge, Skills and Abilities

•    Fluent in English (oral and written). 
•    Additional fluency in a second language is an advantage. 
•    Excellent organisational skills with an ability to prioritise effectively under pressure. 
•    Good communication skills. 
•    Flexible and motivated team player with a positive attitude.


Requisite Education and Experience / Minimum Qualifications

•    Minimum 2 years working experience as an assistant, or equivalent role in Legal Trademarks environment.
•    Knowledge of the Anaqua, Saegis and Legal Tracker systems is an advantage; 
•    Excellent MS office skills (Word, Excel, Outlook and PowerPoint).
