Specialist Workplace Management

Purpose & Overall Relevance for the Organisation:

Workplaces is responsible for the active management of the Global Real Estate Portfolio including leases and transactions of all the properties, all design, construction and operations for offices, showrooms, and DC’s for adidas.

In this role you are responsible for steering of the assigned service area. The role is taking care of Workplace services for locations operated by Workplaces within the region EMEA.


Key Responsibilities:

  • Ensure workplace-related services for employees to guarantee a smooth operation on site
  • Steer assigned services, considering business and safety objectives
  • Steer, coordinate and provide administrative support for provision of external services
  • Adhere to standards, applicable regulations and ensure quality assurance of assigned service areas
  • Report and monitor necessary documentation in accordance with applicable law
  • Interface between adidas and external service provider
  • Create and drive workplace awareness and safety, ensure all H&S standards are always up to date
  • Capturing monthly required stats into Global Reporting System
  • Ensure and implement a robust Sustainability /Green Company process in the office
  • Support with the collection of IMS data
  • Responsible for all monthly equipment maintenance as needed by IMS
  • Assist the F&S Manager during all internal and external Audits
  • Drive and monitor all PO's (Purchase Orders) and ensure timely closing of them in the system, Maintain an accurate sheet on costs vs budget
  • Quarterly needs analysis per HQ department/stores
  • Maintain a relation between building management and internal Facilities
  • Represent the department during internal & external meetings, AEMs when needed
  • Tendering support - to prepare files and documents for tendering. Including reports and costs
  • Support with Onboarding and Offboarding of HQ employees
  • Run & Manage tenders for service provider selections, to be cost efficient. Work on contracts with our inhouse Legal team
  • Workplace calendar and workplace activations
  • Support office events. Introduce a Wellbeing program on/off site
  • Overall Maintenance and Repairs for workplaces, ensuring mandatory planned services are conducted when required
  • Liaising with third party vendor on office/stores maintenance and preparing the necessary reports
  • Responsible for the smooth running of the department in the absence of the FM Manager / the Receptionist
  • Responsible for store maintenance tickets including signs, lighting, electricity, AC systems, store fixtures, back of house shelves, pest, cleaning, music systems fire alarm systems, housekeeping services
  • Energy - Handling all location’s subscriptions (Electric, Water)

Knowledge, Skills, and Abilities:

  • Facility oriented
  • Strong communication and organisational skills
  • Good knowledge in the application of MS Office products
  • Proficiency in English
  • Self-learning and independency ability


Requisite Education and Experience/Minimum Qualifications:

  • Apprenticeship or Training, preferably in the assigned service field/area
  • First working experience in respective area will be beneficial
