Specialist Workplace
Purpose & Overall Relevance for the Organisation:
Workplaces creates and operates inspiring, sustainable environments that enables productivity & connection for adidas employees around the world in offices, showrooms and Distribution Centers for adidas.
Part of the Workplace function is Facility Management, with the purpose to provide safe, clean and compliant workplaces for adidas employees and consumers to visit.
The purpose of this role is to take care of Workplace and Facility Management services and to provide administrative support to our Facility Management and Health, Safety Energy and Environment Team.
Key Responsibilities may include:
- Maintain reception and switchboard
- Steer, coordinate and provide administrative support to the teams.
- Purchase order creation and invoice processing where applicable.
- Adhere to standards, applicable regulations and ensure quality assurance of assigned service areas.
- Ownership of Workplaces SharePoint sites, keeping the site up to date and informative
- Provide support to global workplace team with EMERET and IMS reporting and auditing requirements.
- Support with events where required with catering of administrative support
- To support on space management and renovation works around the office
- Liaising with third party vendor on office maintenance and preparing the necessary
- Ensuring office cleanliness standards are met
- Ensure office supplies and refreshments are managed

Knowledge, Skills and Abilities:
- Good command of English language
- Excellent customer service skills with a professional, friendly and helpful manner.
- Excellent organisational skills.
- Proactive with an eye for detail.
- Ability to manage multiple workstreams with competing deadlines.
- Strong knowledge in the use of all Microsoft products and experience of Workplaces related IT systems used for data entry and reporting, including in-depth knowledge of the use of SharePoint.
- Basic Health & Safety Management knowledge and experience.
- Team player.
Requisite Education and Experience / Minimum Qualifications:
- Experience of working in a facilities Management environment in a large organisation.
- Experience of ownership of Sharepoint or equivalent system
- Experience of participation in ISO accreditation assessments and/or management of documents to ensure legislative compliance.
