Retail Administrator - EM South
PURPOSE & OVERALL RELEVANCE FOR THE ORGANIZATION
The Retail Administrator supports Retail Excellence and Operations by managing vendors, coordinating procurement, handling reporting, and providing key administrative support across South African retail stores.
KEY RESPONSIBILITIES
1. Vendor & Service Provider Management
- Source and compare vendors, manage quotations, place orders, and coordinate deliveries.
- Oversee supplies (shopping bags, stationery, security items, labels, cleaning/security services).
- Maintain vendor lists and ensure stores receive only necessary stock.
- Notify vendors of store openings/closures.
2. Purchase Order (PO) Management
- Create POs for Retail Excellence, Operations, and Store Development.
- Monitor spend vs. PO values monthly.
- Align with Finance and service providers on payment processes.
3. Incentives & Payroll Support
- Collate and submit incentive files to REMCO/payroll.
4. Reporting
- Prepare and distribute daily, weekly, and monthly sales reports.
- Produce store visit packs, sales breakdowns, PJN reports, leave balance updates, and employee discount distributions.
- Ensure accurate reconciliation across LSC, SAP S4 Hana, DRS/BI.
5. Digital Tools & Device Administration
- Maintain and update administrative digital records and store devices (Linear Pro, SAM, Addpay, iPhone, POS/MPOS, VoIP, Image/Sound devices, cloud systems).
6. Events & Travel Coordination
- Coordinate quotes, bookings, logistics, and budgets for major company events (Road Shows, Cape Town Marathon, Otter Trail, UTCT, Black Friday, etc.).
- Arrange travel (flights, accommodation, transport, meals).
7. Uniform Management
- Administer uniform call‑offs and size curve compilation.
8. Communications Administration
- Maintain year calendars, design notice board backings, update Masterfile’s, organograms, and Yammer posts.
9. Senior Operations Support
- Support leadership with travel, claims, reporting, and diary management.

KNOWLEDGE, SKILLS AND ABILITIES
- Passion and knowledge of sports
- Strong interpersonal skills (e.g. communication, negotiation)
- Ability to work within a team environment and under pressure
- Proven methodological skills (e.g. planning, analytical skills)
- Advanced MS Office (Excel, PowerPoint, Copilot and retail systems)
- Smartsheet, BI, and Grow platform proficiency.
- Strong attention to detail, structured and process‑driven.
- Excellent attention to detail
- Structured, process-orientated and at the same time approachable with strong and confident interpersonal skills.
- Experience with POs, vendors, reporting, and events/travel coordination
REQUISITE EDUCATION AND EXPERIENCE
- Business Administration or Retail Diploma
- Functional: minimum 3-4 years’ experience in administration
- Cross-functional experience ideally with administration / sales / finance
- Industry: sporting goods / retail / consumer goods
- Retail operations exposure highly preferred
