Specialist, Retail Back Office

Purpose & Overall Relevance for the Organization:

 

Provide administrative support to the Retail Business by providing information on retail reporting, market research, product/stock management and analysis

 

 

Key Responsibilities:

Functional

  • Consolidate & Support the Retail Operations team in collating and analyzing stores sales data for routine business updates
  • Perform productivity analysis to track retail space and Full-Time Equivalent (FTE) efficiencies
  • Generating and updating of daily/monthly sales, KPIs and other sales data as and when required.
  • Updating In-Store promotion calendar and performance
  • Supporting the Manager on Ship-from-Store (SFS), Click & Collect(C&C) and other eCommerce omni channel initiatives centrally for Own Retail team
  • Support Head of Operations to coordinate, organize and follow up on projects / new business initiatives led by country/SEA/APAC/global for Own Retail and channels
  • Develop and track implementation of half yearly stock take schedules and quarterly corp audits. Support head of ops to compile corp audit findings and identify patterns to drive awareness
  • Work with Head of Operations & cluster managers to identify improvement opportunities in operations and processes. Input and capture aligned solution and drive follow up and implementation
  • Support Retail Operations on keeping store teams up to date on new SOPs (i.e., GSOP, etc.)
  • Work with Finance and cluster managers to compile findings on shrinkage; capture actions; and follow up

 

Vendor Engagement & Management for Own Retail

  • New vendor creation & submission of vendor documents into adidas system
  • Execute Service Agreement renewal (including new rates / quotation) and endorsement from both vendor and adidas
  • Engagement of new location service / service termination
  • Responsible for Purchase Requisition creation, to perform Goods Receiving in the system upon goods or services received, to verify the invoice before submitting for payment process
  • Coordinate with stores & vendor on supplies order / delivery & services
  • Supporting the Manager to co-ordinate or follow-up with vendor on temporary manpower planning (quotation purpose) + extension/absorption/termination of the temporary manpower
  • Raise payment request (advance payment/deposit to Landlord)

 

Secondary

  • Provide competitors’ intelligence
  • Business case analysis for assessment of new key locations
  • Liaison with landlords for any campaign or marketing events for the brand
  • Participate in planning & presenting monthly store team meeting
  • Represent retail in store visit planning and assist Head of Operations for the store visit coordination

Pre-requisite Knowledge / Skills

Diploma in Business Management or related field

Minimum 2 years work experience in the similar field, and have exposure in paperwork/office skills

PC literature, good oral and written communication skills in English and local languages

Strong in organizational skills, a team player with ability to work independently and on a team

Good interpersonal and communication skills and self-confident in interacting with all levels within and outside the organization
