Executive Assistant - Temp until September 30, 2026 (m/f/d)
PURPOSE & OVERALL RELEVANCE FOR THE ORGANISATION
Provide administrative support to the dedicated (Senior) Vice Presidents and his/her department to ensure efficient management and running of the function on a day-to-day level.
KEY RESPONSIBILITIES
- Ensure smooth communication - handling correspondence, calls, and emails with clarity and professionalism
- Keep our team running by managing schedules, meetings, conferences, and everything in between
- Make an impact with your eye for detail - from preparing polished presentations to crafting newsletters and announcements
- Own travel logistics from start to finish (flights, hotels, visas, expenses) and quickly find solutions when plans change
- Keep us organized: maintain files, reports, and intranet content so the right info is always at hand
- Support smart decision-making by keeping an eye on budgets, invoices, and cost tracking
- Jump in on exciting projects and support special assignments where your skills can make a real difference
- Be the team’s trusted partner - stepping in with administrative and coordination support whenever it’s needed

KNOWLEDGE, SKILLS, AND ABILITIES
- An excellent service minded and can-do attitude
- Pro-active E2E thinking, understanding dependencies and preferences
- Very good language skills, particularly in English & German both written and spoken
- Strong communication skills, especially throughout all hierarchy levels
- High level of service orientation in dealing with internal and external stakeholders/customers
- Outstanding organizational skills
- First project management experience preferred
- Excellent PC software skills
- Excellent knowledge of new media & applications
REQUISITE EDUCATION AND EXPERIENCE / MINIMUM QUALIFICATIONS
- Bachelor’s degree in Business or Communication, or any other related education field
- Minimum 3 years of relevant work experience, ideally in a dynamic and diverse work environment
