Specialist, Workplace Management
Purpose & Overall Relevance for the Organisation:
Workplaces is responsible for the active management of adidas’ global real estate portfolio, including workplace strategy, office operations, design, construction, and facilities management across offices, showrooms, and distribution centers.
The Specialist Workplace Management, Philippines is accountable for the end‑to‑end delivery of Workplace services for adidas’ office in the Philippines. This role ensures a safe, efficient, compliant, and engaging workplace environment that supports business operations and employee experience, while aligning local execution with regional and global Workplace standards.
Key Responsibilities:
Workplace Operations & Service Delivery
- Ensure smooth day‑to‑day workplace operations across adidas Philippine office.
- Oversee delivery of all workplace services including facilities management, reception, cleaning, security, pantry, and other soft and hard services.
- Ensure workplace readiness, safety, and service continuity at all times.
Vendor & FM Management
- Steer and manage external Facilities Management (FM) service providers and workplace vendors.
- Ensure service delivery aligns with agreed scopes, SLAs, KPIs, and budget expectations.
- Conduct regular service reviews, performance tracking, and escalation management where required.
Governance, Compliance & Standards
- Ensure compliance with adidas Workplace standards, HSEE requirements, including IMS and external audits, and local regulatory obligations.
- Maintain required documentation, audits, and reports in line with legal and internal requirements.
- Support implementation of EM Workplace framework and processes at country level.
Events & Activations Support
- Support the planning and execution of workplace‑related events and activations, including office openings, employee engagement activities, and internal events held within adidas office.
- Coordinate workplace readiness, space setup, and facilities support for events in partnership with HR, Brand, and external vendors.
- Ensure events and activations are delivered in a safe, compliant manner aligned with adidas HSEE, security, and workplace standards.
Stakeholder Management
- Act as the key interface between adidas Philippines stakeholders (Country Management Team, HR, IT, Finance, Retail, Security) and Workplace.
- Partner closely with regional Workplace teams to ensure alignment and knowledge sharing.
- Provide clear communication and guidance on workplace matters to local stakeholders.
Projects & Office Changes
- Support and/or lead office moves, refurbishments, and workplace improvement initiatives.
- Coordinate with project managers, landlords, and vendors to ensure timely and cost‑effective delivery.
- Support asset management, inventory, and fixed asset transitions related to workplace projects.
Budget & Cost Management
- Support planning and management of workplace OPEX and site‑related CAPEX.
- Identify cost optimization opportunities without compromising safety, compliance, or experience.
- Track spend and ensure transparency in vendor billing and service charges.

Knowledge, Skills and Abilities:
- Strong understanding of workplace operations and facilities management
- Ability to manage vendors and service delivery in a multi‑stakeholder environment
- Structured, organized, and detail‑oriented with strong follow‑through
- Confident communicator with the ability to influence and align stakeholders
- Strong problem‑solving and decision‑making skills
- Proficiency in MS Office applications
- Fluent in both English and Filipino
Requisite Education and Experience/Minimum Qualifications:
- Bachelor’s degree or equivalent professional experience
- 3+ years of experience in Workplace Management, Facilities Management, Corporate Services, or a related field
- Experience working with external FM providers and managing service contracts
- Exposure to multinational companies’ operations is an advantage
