Executive Assistant, Commercial
Provide high-level executive and operational support to the SVP and leadership team, ensuring effective time
management, seamless coordination of priorities, and efficient execution of departmental activities.
Key Responsibilities:
• Own and proactively manage complex executive calendar, maintaining a 3–4-week forward view to
optimize time allocation.
• Act as a strategic gatekeeper, prioritizing meetings based on business impact, leadership priorities, and
KPIs.
• Ensure appropriate pacing of schedules, including buffer time, preparation blocks, and focus time for
critical work.
• Coordinate meetings across senior leaders, stakeholders, and global teams, managing time zones and
competing priorities.
• Anticipate scheduling conflicts and resolve them independently, ensuring minimal disruption to
leadership workflows.
• Monitor upcoming deadlines, key milestones, and decision points; proactively prompt leaders on
required actions or follow ups.
• Exercise judgment in delegating attendance or redirecting requests where appropriate.
• Develop deep understanding of leadership priorities and business rhythms to continuously optimize
calendar effectiveness.
• Ensure effective and timely information flow across the department, including announcements,
updates, and key communications.
• Manage and maintain distribution lists and communication channels; coordinate and send department-
wide communications as required.
• Support executive correspondence when requested, exercising sound judgment and professionalism.
• Handle highly confidential information and communications with discretion, integrity and
professionalism.
• Support and execute sensitive or confidential tasks and initiatives as needed.
• Plan and support meetings and events, including agendas, materials, and logistics.
• Facilitate meetings as needed and ensure alignment on priorities, decisions, and outcomes.
• Coordinate town halls, offsites, and team engagements in partnership with stakeholders.
• Track actions, drive follow-ups, and ensure timely execution.
• Lead or support ad hoc projects, ensuring effective end-to-end coordination.
• Manage departmental operations, ensuring efficient and streamlined processes.
• Oversee travel, expenses, and approvals in line with company policies.
• Support internal workflows, documentation, and record management (e.g., SharePoint, Teams etc.)
• Maintain communication channels, including distribution lists and collaboration tools.
• Coordinate office logistics and team support activities as needed.
• Act as a central point of contact for ad hoc requests from leadership and teams.
• Proven ability to operate independently, applying sound judgment to prioritize and manage multiple
demands in a fast-paced, deadline-driven environment.
• Advanced proficiency in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint, Copilot) and ability to
leverage AI-enabled tools to enhance productivity and streamline workflows.
• Strong problem-solving skills, with the ability to make recommendations aligned with policies,
procedures, and regulatory requirements.
• High level of discretion and professionalism in handling sensitive and confidential information.
• Excellent communication, organizational, and time management skills, with strong attention to detail.
• Some travel may be required.
• Four-year College or University degree and/or
• Minimum five plus years related senior level administrative experience.
• Combination of education and experience may be substituted for degree.
At adidas we offer a Hybrid work policy which requires attendance in the office Monday through Thursday, with the
flexibility to work remotely on Friday each week. For work requiring a high degree of collaboration or an in-person
presentation, in-office attendance is required even on Friday. On the rare occasion, after hours or weekend follow up
work may be required.
