Specialist GBS HR Services (Mobility)
Purpose & Overall Relevance for the Organization:
The GBS Mobility Operations team ensures the accurate, timely, and compliant execution of global mobility administrative activities. This role provides operational and coordination support for international assignments, relocations, and transfers, working closely with internal stakeholders and external vendors to enable smooth employee experience while ensuring data accuracy, and adherence to mobility policies and procedures.
Key Responsibilities:
Mobility Operations & Assignment Administration:
- Provide daily administrative coordination for international assignments, relocations, and transfers.
- Prepare assignment‑related documentation, including cost estimates, assignment letters, repatriation agreements, assignment or contract change letters, and offer packages.
- Support cost estimate preparation and maintain cost‑related documentation in line with defined mobility frameworks.
- Update cost matrixes and support linkages with APRO and related financial tools.
- Partner with the procurement team on purchase orders (POs) and invoicing related to mobility services.
Vendor & Stakeholder handling
- Work with relocation companies, immigration lawyers, and tax vendors to collect documentation, request services, and ensure accurate and timely execution.
- Provide authorization details to relocation, tax, and immigration partners in line with governance and approval frameworks.
- Escalate non‑standard or complex cases to the Mobility Partner as required.
- Act as an operational point of contact for HR, People & Culture, and other internal stakeholders on mobility‑related topics.
Immigration & Document Handling
- Assist in visa and immigration application processes by gathering required documentation and liaising with external providers.
- Track and maintain immigration‑related documents in accordance with internal guidelines.
Data Management, Cost Tracking & Reporting
- Maintain accurate mobility data in HR and mobility systems, ensuring data integrity and completeness.
- Support basic mobility reporting and data validation activities as required.
Employee, HR & Coordination Support
- Provide timely and accurate responses to employee, manager, and HR inquiries related to mobility processes, documentation, and operational topics.
- Ensure consistent communication across stakeholders to support a smooth end‑to‑end mobility experience.
Continuous Improvement & Operational Support
- Support mobility process improvements, documentation updates, and technology or tool enhancements.
- Contribute to team knowledge‑sharing and continuous improvement activities by identifying operational efficiencies.

Knowledge Skills and Abilities:
- Experience in HR Operations, Global Mobility, or administrative support roles.
- Understanding of mobility, relocation, immigration, and assignment processes.
- Proficiency with Excel and HRIS systems (SAP, SuccessFactors) and document management tools.
- Good organizational and multitasking capabilities.
- High attention to detail and accuracy.
- Clear and effective written and verbal communication skills.
- Ability to manage multiple stakeholders in a service‑oriented environment.
Requisite Education and Experience / Minimum Qualifications:
- Bachelor’s degree in HR, Business Administration, or related field preferred.
- 2+ years of previous experience in a compliance, HR operations, or mobility support role.
