Executive Assistant
Purpose:
Supports VP in all aspects in being the coordination partner internally and externally. Provides full service administrative support for VP and his/her division. Takes responsibility for the division’s projects / event management.
Key Responsibilities:
- Performs day-to-day administrative support services, meeting schedules and facilitation, travel arrangements & visa, shipping, expense reports, and other services for the senior leader and his/her division.
- Manages the senior leader’s calendar and helps to prioritize & schedule appointments, and responds when appropriate.
- Keeps completely up-to-date with Sourcing and Product Operations direction, initiatives, objectives and achievements in order to support the senior leader.
- Supports smooth divisional operation during the senior leader’s absence. Maintains communication with him/her during periods of travel, prioritizes communication, provides information and facilitates or makes timely decisions as knowledge permits.
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities and records/transcribes meeting minutes.
- Represents the division in a professional and courteous manner when interacting with both internally and externally.
- Organizes, coordinates and manages the divisional programs, events or conferences.
- Communicates and collaborates with other divisions/organizations and coordinates for cross divisional activities.
- Composes and prepares confidential correspondence, operational reports and other complex documents independently, to ensure timely and accurate responses.
- Orders and maintains office supplies and equipment.
- Codes and routes invoices for signature and timely payment.
Key Relationships:
- Leadership teams in all locations of the division
- Cross divisions in the Sourcing and Product Operations
- Functional departments including Administration, Finance, HR, Legal, IT
Knowledge Skills and Abilities:
- Strong organizational and time management skills.
- Ability to work independently on projects and administration, applying appropriate administrative expertise and decision-making
- Ability to prioritize and execute multiple assignments in a fast-paced environment while working under tight deadlines
- Strong computer skills, including but not limited to, MS Word, MS Excel, MS Outlook and MS Power Point.
- Ability to make recommendations that effectively resolve problems by using judgment that is consistent with standards, practices, policies, procedures and regulations.
- Ability to handle sensitive information with professionalism and confidentiality
- Excellent verbal and written communication skills in English & Chinese
- Team player with very good interpersonal skills
Requisite Education and Experience / Minimum Qualifications:
- Four year College or University degree
- Minimum three (3) years related senior level administrative experience
