Manager Workplace Management
Purpose & Overall Relevance for the Organization:
The role is responsible for supporting the continuous quality improvement and the coordination of Facilities Management at the adidas locations in Greater China with focus on headquarter building in Shanghai. The position contributes to setting high-quality standards for Facilities Management (Building Maintenance, Janitorial, Office Services, Food Services, Moves/Adds/Change projects, etc) through collaboration with the client groups and the GCA Workplace Management Team.
Key Responsibilities:
1. Technical Facility Management & Infrastructure Lifecycle

Asset Management: Responsible for the operation and stability of all on-site technical equipment and building systems (HVAC, MEP, Electrical, Fire Safety, etc.). Manage the full lifecycle of assets, including planning for maintenance, repairs, and capital replacement.

Technical Standards: Develop and enforce technical standards and maintenance procedures. Ensure equipment runs at peak efficiency to minimize downtime.

Data and Result Driven Operations: Leverage Building Management Systems (BMS) and IoT technology and facility data to analyze equipment performance. Drive the transition from reactive repairs to predictive and condition-based maintenance strategies. Analyze technical risks and implement result driven solutions.
2. Financial Management & Cost Optimization

Cost Saving & Efficiency: Proactively identify opportunities for cost reduction and operational efficiency across all facility operations (e.g., energy optimization, technical process improvements, asset life extension). Take ownership of these initiatives from initial proposal to final implementation, and strictly follow up on results to ensure tangible savings are realized.

Budgeting: Manage annual operational (OPEX) and capital (CAPEX) budgets. Assist in preparing multi-year infrastructure plans based on equipment lifecycle analysis and accurate forecasting.

Commercial Oversight: Manage payment processes (PR/PO), verify invoicing, and ensure financial compliance with global policies.
3. Project Management (Small Works & Retrofits)

End-to-End Execution: Lead and manage outsourced small projects such as moves, equipment retrofits, office partial renovations, facility repairs from initiation to handover.

Project Control: Define technical scopes, control budgets, monitor schedules, and ensure quality delivery meets adidas standards.

Total Cost of Ownership (TCO): When proposing projects, apply TCO principles—evaluating not just purchase price, but long-term energy, maintenance, and disposal costs to ensure financial efficiency.
4. EHS, Compliance & Risk Management

Regulatory Compliance: Ensure full compliance with local PRC regulations regarding building codes, fire safety, environmental health & safety (EHS), and special equipment inspections.

Risk Prevention: Conduct regular regulatory inspections and hazard analysis to identify risks; implement preventative measures to mitigate operational liabilities.

Emergency Preparedness: Lead the site’s risk prevention program; update, manage, and drill Emergency Response Plans (ERP) and Business Continuity Plans (BCP) regularly.
5. Vendor & Contract Management

Performance Management: Manage external on-site service providers (Hard & Soft services) with a focus on technical delivery. Create and enforce strict KPIs and Service Level Agreements (SLAs).

Vendor Innovation: Challenge external vendors to move beyond basic compliance; drive them to propose innovation plans and technical improvements.
6. Sustainability & Energy Management

ESG Initiatives: Champion energy management programs to support adidas’ global carbon neutrality goals. Monitor utility consumption (water, electricity), analyze data, and identify opportunities for energy-saving retrofits.

Green Standards: Maintain compliance with green building standards and implement operational practices that align with ISO 50001 principles.
7. End-user Experience & Stakeholder Management

Proactive Engagement: Act as the primary interface and work place partner for internal departments. Proactively gather requirements and communicate feasible technical solutions. Proactively propose and implement innovative ideas/projects to uplift the End-user Experience and workplace environment.

Cross-Functional Coordination: Act as the primary coordinator between Workplace Management and internal business functions (IT, HR, Security, Brands). Establish smooth communication channels to align facility operations with business needs, ensuring seamless collaboration on daily requests and special events.

Change Management: Support organizational changes by effectively communicating technical projects and workplace evolution to internal stakeholders.
8. Audit & Process support

Audit Support: Support and coordinate internal and external audits (ISO, local authorities); ensure timely follow-up and rectification of any findings.

Process Optimization: Continuously review and optimize FM workflows to increase efficiency and accuracy.

Knowledge, Skills and Abilities:

Deep knowledge of building systems (MEP, HVAC, Electrical) and facility maintenance practices. Ability to read technical drawings (CAD) and specifications.

Excellent interpersonal skills with the ability to build strong relationships across departments. Capable of navigating a matrix organization and coordinating complex tasks with multiple internal stakeholders smoothly.

Strong acumen in budgeting and cost control. Proven ability to identify cost-saving opportunities and drive them to results.

Proven experience in facility management operations and service delivery.

Proven experience in managing office renovations, equipment retrofits, and technical engineering projects.

Ability to deliver effective written and formal communications at all levels in corporate environment.

Strong familiarity with local PRC safety regulations, fire codes, and environmental standards.

Strong abilities to deliver results with tight deadlines and deal effectively in pressured situations.

Strong ability to work in a fast-moving environment with different international cultures.

Fluent in English and local language(s).
Requisite Education and Experience / Minimum Qualifications:

Degree related to Engineering, Facility Management or related field or equivalent combination of training & experience.

Minimum 3-5 years working experience in respective area with a focus on technical operations, engineering, and project management.

PMP, Certified HVAC/MEP Engineer, or CFM are highly desirable.
