Talent Acquisition Specialist
The Talent Acquisition Specialist plays a key role in supporting administrative support to the Distribution Network Talent Acquisition Team. They will support recruitment process by ensuring a seamless and efficient experience for candidates, hiring managers, and recruiters. This role is responsible for managing interview logistics, maintaining applicant data, and supporting tasks to attract and onboard top talent. By facilitating smooth hiring operations, the Talent Acquisition Specialist helps drive the company's workforce growth and reinforces a strong employer brand.
Key Responsibilities:
- Prepare and maintain offer documents (letters, non-competes, relocation agreements, etc.)
- Support all administrative tasks in the end-to-end high volume recruiting process (offer letters, ticket submission, maintaining candidates in ATS)
- Support in all scheduling of interviews, video and phone screens including booking conference rooms, conference calls, etc.
- Support hiring event planning and execution (calendar invites, booking conference rooms, submitting facilities requests, coordinating meeting space, printing materials, etc.)
- Support and partner with Human Resources/ agency partners in temp conversion process across DC Network through administrative tasks such as, outreach, applications, verbal offers, and monitoring until onboarding is complete.
- Participate in community job fairs and engagement activities.
- Greet candidates upon arrival for interviews as needed.
- Monitor shared TA inboxes across DC network.
- Ensure new hires are enrolled in new employee orientation and other required onboarding tasks.
- Partner with other TA, HR, and Business partners to share best practices, process improvements, etc.
- Participate and support special projects and initiatives as needed.
- Process all vendor POs in our vendor management system.
- Maintain and update shared folders with most recent SOPs, spreadsheet links, and process flows.
- Partner with Human Resources team for most up to date job descriptions.
- Day to day management of ad hoc recruiting administration as requested
Skill Requirements:
- Ability to manage multiple tasks simultaneously and prioritize workload.
- Strong organization and follow-up skills.
- Strong interpersonal and relationship building skills.
- Proficient in MS Office Suite and good overall computer skills, particularly with excel, Smartsheet and Docusign.
- Strong written and verbal communication skills.
- Ability to work in a fast-paced environment and adapt to constant change with ease and flexibility.
Qualifications:
- Minimum of 6 months experience in an administrative or customer facing role
- HR or Talent Acquisition experience preferred
- Familiarity with the Distribution Center/ Manufacturing environment preferred
