Senior Manager, Facility Management
Purpose & Overall Relevance for the Organization:
This role is responsible for the strategic leadership and operational management of Integrated Facility Management (IFM) services at the adidas logistics locations in Greater China, with a primary focus on the major Distribution Center (DC) in Suzhou and oversight of additional DC in Tianjin with a total GFA of about 290.000 sqm. The primary mission is to ensure business continuity for logistics operations through a safe, clean, and technically resilient environment. The position contributes to setting high-quality standards for IFM by technical excellence (Hard FM) and high-standard Soft Services, achieved through close collaboration with the DC operational groups and the GCA Workplace Management Team.
Key Responsibilities:
1. Integrated Facility Management (IFM) and Business Continuity
- Integrated Service with Technical Priority: Lead the delivery of a comprehensive Integrated Facility Management (IFM) model that encompasses soft services (Security, Janitorial, Pest Control), with a relentless priority on technical resilience (Hard FM) to ensure 100% operational continuity for the distribution centers.
- Mission-Critical Uptime: Ensure peak performance and stability of all on-site technical equipment and building systems (HVAC, MEP, Electrical, Fire Safety, etc.), alongside logistics-critical infrastructure such as dock levelers and high-speed industrial doors, to support seamless inbound and outbound workflows.
- Data-Driven Asset Lifecycle: Manage the full lifecycle of assets, including planning for maintenance, repairs, and capital replacement. Leverage Building Management Systems (BMS), IoT technology, and facility data to analyze equipment performance and drive the transition from reactive repairs to predictive and condition-based maintenance strategies.
- Vendor Performance & Operational Quality: Manage external on-site service providers across all IFM lines through strict KPIs and Service Level Agreements (SLAs). Ensure a safe, hygienic, and highly functional environment while challenging vendors to move beyond basic compliance and propose technical innovations.
2. Regional Governance & Multi-site Leadership
- Multi-Site Oversight: Manage the daily IFM operations of the Suzhou hub while acting as the direct reporting manager for local FM Managers stationed at other distribution centers.
- Standardization: Develop and enforce unified technical standards and maintenance procedures across all regional DCs to ensure consistent service delivery and operational efficiency.
- Cross-Functional Coordination: Act as the primary coordinator between Workplace Management and internal business functions. Establish smooth communication channels to align facility operations with supply chain needs, ensuring seamless collaboration during daily requests and peak shipping seasons.
3. Logistics Operations Support
- Proactive Operational Alignment: Act as the primary IFM business partner for the DC Operations and Supply Chain leadership teams. Proactively gather logistics requirements and ensure facility readiness aligns with daily inbound/outbound targets.
- Peak Season Planning: Collaborate deeply with logistics planners during high-volume periods (e.g., Double 11, promotional events) to scale IFM services appropriately. This includes ensuring zero technical downtime and ramping up soft services (e.g., additional janitorial, security, and staff welfare facilities) to support temporary workforce surges.
- Change Management: Support supply chain evolutions projects (e.g., implementing new automated sorting lines or racking layouts) by effectively communicating facility modifications and ensuring minimal disruption to the warehouse floor
4. Financial Management & Cost Optimization
- Budgeting: Manage annual operational (OPEX) and capital (CAPEX) budgets for the DC network. Assist in preparing multi-year infrastructure plans based on equipment lifecycle analysis and accurate forecasting.
- Cost Saving & Efficiency: Proactively identify opportunities for cost reduction and operational efficiency across all facility operations (e.g., energy optimization, technical process improvements, vendor consolidation).
- Commercial Oversight: Manage payment processes (PR/PO), verify invoicing, and ensure financial compliance with global policies.
5. EHS, Compliance & Risk Management
- Regulatory Compliance: Ensure full compliance with local PRC regulations regarding building codes, fire safety, environmental health & safety (EHS), and special equipment inspections, with strict adherence to high-density storage requirements.
- Emergency Preparedness: Lead the site’s risk prevention program; update, manage, and drill Emergency Response Plans (ERP) and Business Continuity Plans (BCP) regularly to mitigate operational liabilities.
6. Audit & Process Management
- Audit Leadership & Compliance: Lead and coordinate internal and external facility audits, including ISO certifications (e.g., ISO 14001, 45001), local authority inspections (Fire Bureau, EHS), FM global audits and supply chain security standards. Ensure timely follow-up and rigorous rectification of any findings.
- IFM Workflow Optimization: Continuously review and optimize complex IFM Standard Operating Procedures (SOPs) across the regional DC network. Streamline work-order processing and emergency response times to suit the fast-paced warehouse environment.
- Data Transparency & Reporting: Ensure the accurate tracking of FM data via ticketing systems and the Building Management System (BMS). Provide transparent, data-driven reports on SLA performance, utility consumption, and operational risks to regional leadership.
7. Project Management
- End-to-End Execution: Lead and manage outsourced projects such as equipment retrofits, automated sorting line integrations, and facility repairs from initiation to handover, ensuring zero disruption to daily logistics operations.
- Total Cost of Ownership (TCO): When proposing projects, apply TCO principles—evaluating not just purchase price, but long-term energy, maintenance, and disposal costs to ensure financial efficiency.
8. Sustainability & Energy Management
- ESG Initiatives: Champion energy management programs to support global carbon neutrality goals. Monitor utility consumption (water, electricity), analyze data, and identify opportunities for energy-saving retrofits in large-scale warehouse environments.

Knowledge, Skills and Abilities:
- Deep knowledge of building systems (MEP, HVAC, Electrical) and facility maintenance practices. Ability to read technical drawings (CAD) and specifications.
- Excellent interpersonal skills with the ability to build strong relationships across departments. Capable of navigating a matrix organization, managing remote teams and coordinating complex tasks with multiple internal stakeholders smoothly.
- Strong acumen in budgeting and cost control. Proven ability to identify cost-saving opportunities and drive them to results.
- Proven experience in Integrated Facility Management (IFM) operations and service delivery.
- Proven experience in managing renovations, equipment retrofits, and technical engineering projects.
- Ability to deliver effective written and formal communications at all levels in corporate environment.
- Strong familiarity with local PRC safety regulations, fire codes, and environmental standards.
- Strong abilities to deliver results with tight deadlines and deal effectively in pressured situations.
- Strong ability to work in a fast-moving environment with different international cultures.
- Fluent in English and local language(s).
Requisite Education and Experience / Minimum Qualifications:
- Degree related to Engineering, Facility Management or related field or equivalent combination of training & experience.
- Minimum 8-10 years working experience in the respective area, with at least 3-5 years in a leadership role managing technical operations and IFM for large-scale logistics centers, distribution hubs, or industrial manufacturing sites.
- PMP, Certified HVAC/MEP Engineer, or CFM are highly desirable.
