Specialist Payroll, HR

Purpose & Overall Relevance for the Organization

This position is responsible for assisting team leader and co-work with team members from Japan and Dalian team as well as 3rd-party vendor for below service lines:

  • Time management
  • Compensation administration
  • Benefit administration
  • Payroll administration
  • Employee inquiries
  • Other country specific processes administration

Key Responsibilities

  • Complete all administrative tasks of the defined services independently and achieve the SLA requirements;
  • Implement operation control steps compliance with legal requirements and internal policies;
  • Ensure the process related documents are updated and submitted for review properly;
  • Keep good relationships with business partners and Internal Stake Holders on a proactive basis;
  • Ensure appropriate process / framework to review challenge is operated and propose solution for the process risks;
  • Liaise between local HR teams and employees and ensure smooth communication & prompt resolution of all queries;
  • Proactively identify and implement the process improvement to achieve employees satisfactory and higher efficiency;
  • Support the global and local HR programs implementation;
  • Support the internal/external audits involving payroll;
  • Guide the junior team members on daily operation and share the knowledge proactively;
  • Ensure/Keep compliance with employee policies and labor related laws;
  • Daily Vendor Management as well as negotiation and system optimization when needed.

Knowledge, Skills and Abilities

  • Excellent knowledge of MS-Office applications, especially Excel/Access; familiarity with VBA is an advantage;
  • Experience with business computing solutions, ideally also with SuccessFactors and ServiceNow ticketing solutions;
  • Knowledge expert in payroll or C&B area;
  • Attention to details with good numerical & analytical skills;
  • Strong mindset in process continuous improvement;
  • Familiarity with the relevant industry is an advantage;
  • Good service mindset, people focus and self-motivated;
  • Good team player, strong communication and interpersonal skills;
  • Eager to learn and keep the knowledge up to date;

Requisite Education and Experience / Minimum Qualifications

  • Minimum of 4 years of payroll or C&B work experience in a similar function for a multi-national company
  • Undergraduate degree or equivalent professional experience
  • Best knowledge of the Japan business needs, company rules, law and HR regulations
  • Good command of Japanese and written English
