PRIVACY NOTICE – ADIDAS CAREER PORTAL

1.           WHAT IS THIS ABOUT?

adidas is committed to comply with all relevant privacy laws and regulations. This Privacy Notice describes how adidas processes your personal information in the context of candidate searching and recruiting. This Privacy Notice also provides you with information on your rights under applicable data protection laws, and how you can exercise those rights.

 

2.           DATA CONTROLLER

Your personal data is controlled by adidas AG, Adi-Dassler-Straße 1, 91074 Herzogenaurach, Germany. Any reference to ‘adidas’, ‘we’ or ‘us’ in this notice is a reference to adidas AG.

By creating a profile, you are able to apply for a specific job directly or to show your interest in working for adidas or other adidas entities around the globe. When applying for a specific position, your application and personal information may be transferred to the adidas entity which is hiring for that specific vacancy.

 

3.           WHAT PERSONAL INFORMATION DO WE PROCESS?

Profile – For the creation of a profile it is necessary that you provide, as a minimum, your first and last name, email address and country of residence.

Further required information – Additionally, when applying for a specific job, we may ask you for further candidate-related personal information. Depending on the local requirements of the country the job is offered in, this may vary in scope and type.

Further submitted information – In order to complete your profile, you can voluntarily add other job-relevant personal information. By uploading your CV, it will be added to your profile automatically.

Information captured during the searching and recruitment process – During the searching and recruitment process we may collect further candidate-related information, such as information about your previous work experience, your work preferences, your salary expectations and your gender.

 

4.           FOR WHICH PURPOSE AND HOW DO WE PROCESS YOUR PERSONAL INFORMATION?

Searching and Recruiting – adidas uses your personal information in order to find potential candidates and to fill vacancies.

adidas and its entities is an enterprise operating globally. In the section ‘search options and privacy’, you can influence to whom your profile will be visible. Please see below how your choice influences the visibility of your profile and for which purposes we use your personal information:

International candidate pool (‘any adidas recruiter worldwide’) – Your personal information will be available for filling vacancies of adidas entities worldwide if you opt for this on your profile, under the ‘search options and privacy’ section. Every recruiter and every individual who is involved in a recruitment process for vacancies worldwide will have access to your personal information;

National candidate pool (‘only adidas recruiters responsible for recruitment process in my country of residence’) – Your personal information will be available for filling open positions of adidas entities within the country of your residence if you opt for this on your profile under the ‘search options and privacy’ section. Every recruiter and every individual who is involved in a recruitment process for vacancies in this country will have access to your personal information;

Candidate pool for a specific job (‘only adidas recruiters managing jobs I apply to’) – Your personal information will be processed only for filling the specific position you have applied for if you opt for this on your profile under the ‘search options and privacy’ section. In this case, only those individuals who are involved in the recruitment process for this particular job will have access to your personal information;

Inviting you to use our career portal – If we got to know you at a career-related event or if we find your work-related social media profile relevant in regard to our job openings, we may collect some of your personal information with the purpose of inviting you to make use of our career portal and to apply to a certain vacancy.

Getting in touch with you – We may use your personal information to contact you in the following ways:

If you set the visibility of your profile for the national or international candidate pool, as described in this Privacy Notice, recruiters may contact you individually to inform you about relevant job opportunities.

If you created a job alert under the ‘Options’ section of your profile, you will be informed about current job offers automatically via email. You can use the relevant subscribe/unsubscribe button in the same section to deactivate this job alert.

adidas may send you an email invitation to an online survey related to your recruiting experience after the recruitment process is finished. Furthermore, adidas may send you talent pool communications, informing you about career events and job campaigns, among others. In the career portal you can object to this emailing. To do so, please use the relevant subscribe/unsubscribe button under the ‘search options and privacy’ section.

Improvement of our services, processes and other purposes – Your personal information is processed in order for us to be able to improve our searching and recruitment process, as well as our career portal in regard to user experience and technical security. Moreover, we may use your personal information to exercise our legal rights, fulfill our legal obligations or to defend legal actions.

 

5.           WHAT IS THE LEGAL BASIS FOR PROCESSING YOUR PERSONAL INFORMATION?

Legitimate interests – We process your personal information for the purposes of our legitimate interests. Our interests comprise in:

searching and recruiting

ensuring the online presence of our career portal

exercising our rights

Compliance with laws – We will process your personal information to comply with legal obligations, e.g. answering authority requests in the course of investigation proceedings.

Your consent – During the recruiting process we may ask you for your consent regarding further usage of your personal information. Where you have given such a consent, adidas may use your personal information as consented. You are free to revoke such a consent for the future without giving any reason.

 

6.           WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

For the above-mentioned purposes your personal information may be shared with the following categories of recipients (including recipients outside the European Economic Area) in accordance with applicable laws:

Affiliates – adidas and its entities is a global enterprise comprised of several companies operating globally which is headquartered in Germany. adidas will share your personal data with other adidas entities if it is necessary for the purposes explained in this Privacy Notice. A list of adidas entities with whom your personal data may be shared can be found under ‘Shareholdings’ in the financial statements of adidas AG.

Service providers – We share your personal information with service providers, who help us to manage the overall business, such as IT service providers, recruitment service providers or consultants.

Other third parties – If required during the recruitment process, adidas will pass a limited subset of your personal information, mainly name and contact to other third parties, such as assessment providers. You may be invited to provide further information directly to these third parties.

Government authorities, law enforcement officials, courts – In exceptional cases, your personal information may be shared with government authorities, law enforcement officials and/or courts if mandated by law or if required for the legal protection of our legitimate interests.

 

7.           WHICH SAFEGUARDS DO WE UNDERTAKE TO PROTECT YOUR PERSONAL INFORMATION?

adidas will protect your personal information, whether inside or outside the EEA. We may share personal information outside the EEA only after an assessment of reliability and after ensuring that personal information is adequately protected. Furthermore, we have appropriate technical and organizational measures in place and signed contractual agreements with our service providers to protect your personal information against loss, alteration or unauthorized access.

 

8.           HOW LONG DO WE KEEP YOUR PERSONAL INFORMATION?

We will delete your personal information if its storage is no longer necessary. This depends on the purpose for which it was collected.

Profile – As a rule, we will retain your career profile for a period of 24 months after your last login, with some country-specific exceptions (e.g. 6 months if you are located in Germany). You will be informed about the deletion of your profile via email. Additionally, you may delete your profile at any time before the expiry of this period.

Job application – If you applied for a job at adidas, we will retain your application for the duration of the recruitment process and to the extent permitted by applicable laws after the end of the recruitment process, for the purposes described in section 4 of this Privacy Notice. As a rule, applications will be deleted 24 months after rejection, with certain exceptions (e.g. 6 months in the case of applications for German requisitions).

 

9.           WHAT ARE YOUR RIGHTS?

We would like to give you an overview over what personal data rights you have:

Right to erasure – You have the right to request the erasure of your profile at any time. To do so, please log in to your profile and delete your account under ‘Options’ à ‘Password Settings’.

Right to data portability – In some cases, when we process your personal information having your consent as a legal basis, you have the right to receive your personal information in a structured, commonly used and machine-readable format. Additionally, you can request the transmission of your data to another company.

Right to restriction of processing – In specific circumstances, you can prevent adidas from processing your personal information.

Right to object – You have the right to object to the processing if you doubt our legitimate interests for processing your personal information.

Right to lodge a complaint – You have the right to lodge a complaint with a supervisory authority in the Member State of your habitual residence, place of work or of an alleged infringement of the GDPR.

Important note – We may need to confirm your identity, before we can deal with your enquiry. Please note that some of the rights are also subject to restrictions. Where your request has been rejected, we will provide you with relevant reason.

11.         WILL THERE BE UPDATES TO THIS NOTICE?

This Privacy Notice may be updated periodically. adidas will update the date at the top of its first page accordingly and encourages you to check for changes that have been made, which will be available on the website. On some occasions, adidas may also actively advise you of significant changes to this Privacy Notice.
